Reservations

ALL reservations require at least 24 hours' notice; bookings will NOT be confirmed on the same day that you want to use the room.

Room payment is due prior to your meeting/event.

We request that you use the Library meeting room calendar to research availability before emailing for a reservation.

Payment options

There are three options to pay for a meeting room:

  • Pay online. Your reservation number is the invoice number
  • Mail a check or money order along with a copy of your confirmation to:
    Finance Department
    Kansas City Public Library
    14 West 10th Street
    Kansas City, MO 64105
  • Pay with credit card, check, cash or money order at any library location. Bring a copy of your confirmation and note the reservation number on your check.

Cancellations

You must cancel a reserved space at least 24 hours prior to the scheduled time. Some exceptions apply, such as adverse weather conditions, utility outages, or other unforeseeable circumstances.

To cancel your reservation, please email Sue Sanders.

Additional details and policies

The reserved time includes room setup and clean up. Users will not have access to the room until their assigned time. Meeting rooms must be vacated and left clean 15 minutes prior to closing.

Library employees will not be available to assist with meeting room set up or clean up. Groups assume full responsibility for arranging their own rooms, and leaving them in good order.

Food and beverages are allowed at meetings and events, with the understanding that NO beverage of a red, orange, purple, or related color may be taken into the room since those colors stain the carpet and do not come out. Any food on the carpet that does not clean up should be reported to a staff member. Groups may not post any sort of items to the wall using tape, tacks, or any other method that damages the wall by leaving a puncture or stain or adhesive residue. Groups will be held liable for any damage caused from ignoring these rules.

The Library has the right to preempt any event for Library use. In such rare instances, the Library will make every reasonable effort to assist the group in reserving another date or Library facility or meeting room.

Community meeting rooms are not intended to be used for regular, consecutive meetings by clubs or organizations since such use prohibits general availability to the public. Rooms may be booked for up to four individual gatherings and groups may maintain a balance of four; longer booking periods are possible for classes and programs that have been approved in advance by the manager for the branch you wish to use.

Rooms may not be used for social activities such as baby showers, bridal showers, birthday parties, or similar events.

The Library will not under any circumstances book a room for more people than is specified as that room’s maximum capacity. The reason for this is fire code restrictions and potential wear and tear on the room.

The Library may not be identified as a co-sponsor of a meeting without prior approval of the branch manager.

Groups may not conduct financial transactions of any kind on Library property.

Study groups may use branch library meeting rooms at no charge on a walk-in basis only and depending on availability. All study groups must check-in with the Circulation Desk in advance of use.
