The Kansas City Public Library Branches, as well as Central Library, encourage neighborhood and community groups to take advantage of our versatile meeting rooms.

*Groups may apply for free meeting room use by filling out a Community Partnership Application (pdf) and returning it to the branch manager or Central Library director for the location(s) desired (does not apply to special event spaces).

Reservations

  2. Reserve your room by email or calling 816.701.3402
  3. Make a payment

ALL reservations require at least 24 hours' notice; bookings will NOT be confirmed on the same day that you want to use the room.

Room payment is due prior to your meeting/event.

We request that you use the Library meeting room calendar to research availability before calling or emailing for a reservation.

Payment options

There are three options to pay for a meeting room:

  • Pay online. Your reservation number is the invoice number
  • Mail a check or money order along with a copy of your confirmation to:

  • Pay with credit card, check, cash or money order at any library location. Bring a copy of your confirmation and note the reservation number on your check.

Cancellations

You must cancel a reserved space at least 24 hours prior to the scheduled time. Some exceptions apply, such as adverse weather conditions, utility outages, or other unforeseeable circumstances.

Additional details and policies

The reserved time includes room setup and clean up. Users will not have access to the room until their assigned time. Meeting rooms must be vacated and left clean 15 minutes prior to closing.

Library employees will not be available to assist with meeting room set up or clean up. Groups assume full responsibility for arranging their own rooms, and leaving them in good order.

The Library has the right to preempt any event for Library use. In such rare instances, the Library will make every reasonable effort to assist the group in reserving another date or Library facility or meeting room.

Community meeting rooms are not intended to be used for regular, consecutive meetings by clubs or organizations since such use prohibits general availability to the public. Facilities and meeting rooms may be booked for up to four consecutive gatherings; longer booking periods are possible for classes and programs that have been approved in advance by the manager for the branch you wish to use.

The Library may not be identified as a co-sponsor of a meeting without prior approval of the branch manager.

Groups may not conduct financial transactions on Library property.

Study groups may use branch library meeting rooms at no charge on a walk-in basis only and depending on availability. All study groups must check-in with the Circulation Desk in advance of use.
